How we handle parent and student information.

Jarvis Institute collects only the information we need to respond to families, provide learning services and keep clear records. This policy explains what we collect, how we use it and how parents can contact us about their information.

Overview

This Privacy Policy applies to information collected by The Jarvis Institute through our website forms, email communication, consultations, waitlists, tutoring inquiries and program registrations. It is intended to be general and may be updated as our services grow.

We do not sell parent or student information.

Information We Collect

Depending on the form or service, we may collect:

  • Parent or guardian name, email address and phone number.
  • Student grade level, subject area, learning goals or current academic challenge.
  • Preferred contact method, preferred consultation time and scheduling details.
  • Program, course, waitlist or tutoring interest.
  • Messages you send to us through forms or email.
  • Website tracking details such as UTM campaign parameters when you arrive from an advertisement or campaign link.

We avoid collecting a child’s full name or unnecessary personal information unless it is needed for a specific program, registration or safety purpose.

How We Use Information

We use collected information to:

  • Respond to parent inquiries and consultation requests.
  • Schedule and prepare for Learning Gap Audits, tutoring discussions or program registrations.
  • Maintain records of parent communication and service interest.
  • Send relevant administrative updates about a course, consultation, waitlist or tutoring service.
  • Improve our website, advertising and parent communication.
  • Comply with legal, safety, recordkeeping and operational requirements.

Email, Consent and CASL

Jarvis Institute aims to follow Canada’s Anti-Spam Legislation (CASL) when sending commercial electronic messages to parents and guardians in Canada.

  • We will use email to contact parents about inquiries, consultations, registration, waitlists, tutoring services and related updates.
  • Where required, we will seek consent before sending promotional or commercial electronic messages.
  • Commercial electronic messages from Jarvis Institute will identify Jarvis Institute and include contact information.
  • Commercial electronic messages will include a way to unsubscribe or tell us you no longer want to receive those messages.
  • We will process unsubscribe requests as soon as practical and no later than 10 business days after receiving the request.
Important distinction

Parents may still receive necessary administrative or service-related messages, such as replies to an inquiry, scheduling details, registration updates or information needed to deliver a requested service.

Record Retention

We keep parent contact information and inquiry records for up to 2 years from the last meaningful interaction, unless a longer period is required or permitted for legal, accounting, safety, dispute resolution or operational reasons.

After that period, we will delete, anonymize or securely archive the information where practical.

Sharing and Service Providers

We may use trusted service providers to operate our website, receive form submissions, manage email, store records, host files, process payments or manage scheduling. These providers may process information only as needed to provide their services to Jarvis Institute.

Examples may include form tools, email providers, spreadsheet or recordkeeping systems, website hosting services, analytics tools and payment processors. Some providers may store or process information outside Canada.

Security

We use reasonable administrative, technical and organizational safeguards to protect information. No website, email system or internet transmission can be guaranteed to be perfectly secure, so families should avoid sending highly sensitive information through general website forms.

Your Choices and Requests

Parents and guardians may contact us to request access to, correction of or deletion of their information, subject to reasonable identity verification and any legal or operational limits.

You may also ask us to stop sending promotional emails. Each commercial electronic message should include an unsubscribe method, and you can also contact us directly.

Children’s Information

Our website and inquiry forms are intended for parents and guardians. We do not knowingly ask children to submit personal information through the website. Parents should complete forms on behalf of their child.

Policy Updates

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new effective date.
